Document Control Specialist

We are looking for a Document Control Specialist for our Information Technology Department, who will be essential in managing, organizing, and securing our sensitive security-related documents, ensuring compliance with regulatory requirements

Responsibilities:

- Maintain a comprehensive repository of information security policies, procedures, guidelines, and related documents.

- Ensure all information security documents are up to date, accurately versioned, and accessible to authorized personnel. Track changes and maintain revision histories.

- Implement and enforce access controls to ensure that only authorized individuals have access to sensitive information security documents. Manage permissions and user roles within document management systems.

- Maintain the confidentiality and integrity of information security documents through appropriate security measures, encryption, and access controls.

- Assist in monitor compliance with information security policies, procedures, and regulatory requirements through regular reviews of documentation. Ensure alignment with industry standards and best practices.

- Establish and maintain documentation standards, templates, and formats for information security documents to ensure consistency, clarity, and usability.

- Assist in the documentation of security incidents, including incident reports, investigation findings, and remediation actions. Ensure accurate and timely reporting of security incidents.

- Develop and deliver training materials and awareness programs related to document management, information security policies, and procedures. Assist in educate staff on best practices for handling sensitive information.

- Manage documentation related to vendor assessments, contracts, and agreements pertaining to information security. Ensure compliance with security requirements for third-party vendors.

- Assist in preparing documentation and evidence for internal and external audits, regulatory inspections, and compliance assessments.

- Proactively identify opportunities to improve document management processes, tools, and workflows. Implement enhancements to increase efficiency, accuracy, and security.

- Collaborating with various departments to ensure documentation aligns with our security protocols.

Qualifications:

  • Bachelor's degree in information technology, computer science, business administration, with STEM being plus or a related field.
  • Proven experience in document management, preferably within an information security or IT environment.
  • Understanding of information security principles, standards, and best practices.
  • Familiarity with document management systems and tools like Microsoft SharePoint.
  • Past experience in MS Office suite in general
  • Excellent attention to detail and organizational skills.
  • Strong communication and interpersonal skills.
  • Ability to work independently and collaboratively in a dynamic team environment.
